Overview: The Director of Office Services and Administration is
responsible for overseeing and optimizing all facets of office
management, facilities, and administrative services. This senior
role ensures that the office environment is efficient,
professional, safe, and supportive of the organization’s strategic
goals. The successful candidate will drive process improvements,
manage budgets, supervise administrative staff, and serve as a
critical liaison between departments to foster a seamless
operational workflow. The ideal candidate must thrive in a
fast-paced, high-touch environment. Key Responsibilities:
Leadership & Executive Assistant Team Management: Supervise and
mentor administrative team, fostering a culture of high performance
and continuous improvement. Build and maintain a dynamic
capacity-planning model to match EA headcount to partner/senior
executive needs, factoring in travel seasons, board-meeting cycles,
and parental leaves. Design a tiered support structure (primary EA,
secondary backup, shared services pool) so every senior executive
has seamless coverage. Establish OKRs/KPIs for each EA, inclusive
of in office vs remote coverage. Conduct regular performance
reviews and provide professional development opportunities. Office
Operations Management: Oversee day-to-day office services,
including facilities management, mail distribution, reception, and
administrative support. Develop, implement, and maintain policies
and procedures to ensure efficient office operations. Manage the
Administrative team and office services team, ensuring consistent
coverage for the executives, top-notch support, and seamless office
operations. Facilities & Vendor Management: Manage costs, ensuring
we are efficient and uncompromising in quality purchasing and
vendor management. Analyze expenses and implement cost-reduction
strategies without compromising service quality. Coordinate
maintenance, repairs, and enhancements for office spaces. Establish
and manage relationships with external vendors and service
providers, ensuring quality service delivery and compliance with
contractual obligations. Support offices in NYC and San Francisco
as needed, leveraging local resources. Project Management &
Strategic Initiatives: Support office relocation, renovation, and
expansion projects. Collaborate with IT, HR, and Finance
departments to support company-wide initiatives and technology
integration. Compliance & Risk Management: Ensure that all office
operations adhere to local, state, and federal regulations,
including OSHA safety and environmental standards. Develop and
oversee emergency procedures with office and facilities team, and
the business continuity plans with IT, Compliance, Finance and HR.
Communication & Coordination: Act as the primary point of contact
for administrative issues across the organization. Facilitate
effective internal communications to support collaborative work
environments. Required Qualifications: Bachelor’s degree required,
advanced degree a plus. 15 years of progressively responsible
experience in office management, facilities administration, or a
similar role. Demonstrated leadership experience with a proven
ability to manage and develop large teams with a range of
backgrounds and experiences in a matrixed organization Strong
financial acumen, including experience managing budgets and vendor
contracts. Excellent organizational, problem-solving, and project
management skills. Proficiency with office software, facilities
management systems, and general business applications. Exceptional
written and verbal communication skills. Preferred Qualifications:
Professional certifications in facilities management or
administration. Experience in a multi-location or corporate
environment. In-depth knowledge of workplace safety, regulatory
compliance, and risk management practices. Competencies & Skills:
Leadership & Decision-Making: Ability to guide teams effectively
and make strategic decisions under pressure. Organizational Skills:
Excellent multitasking, planning, and organizational capabilities.
Communication: Strong interpersonal skills with the ability to
communicate across all levels of the organization. Problem-Solving:
Creative and innovative thinker with a knack for process
improvement and resource optimization. Vendor Negotiation: Skilled
in negotiating contracts and managing vendor relationships to
achieve the best service outcomes. Key Requirements: Must be based
in the Greater Boston area Must be willing to work on a hybrid
schedule out of our Boston based office Must be authorized to work
in the United States without any sponsorship Compensation RA
Capital Management is committed to fair and equitable compensation
practices. Pay for this position will be based on experience,
skills, qualifications, and current market conditions. In addition
to base salary (listed below), employees may be eligible for
performance-based bonuses and a comprehensive benefits package that

Massachusetts base pay range $150,000 - $220,000 USD ?RA Capital is
